**An AI automation agency suits a small business that wants several workflows built at the same time and a team to call afterwards. An independent consultant suits a business that wants to deal with the person who builds, from the first call, and to own and run the result itself.** Which one fits depends on your business more than on the label.

## What an AI automation agency does

An agency is a team. Usually there is someone who sells and scopes the work, a project manager, and builders who connect your tools and set up the AI. Many work with automation platforms such as n8n, Make or Zapier. Many also offer a monthly plan to run and adjust what they built.

Their strengths come from being a team. They can take on several workflows in parallel. When one person is on holiday, another one picks up. And because they often build the same kind of automation for many clients, common jobs such as lead follow-up or invoice capture can move fast.

## What an independent consultant does

With an independent consultant, the person you talk to is the person who builds. In my case I scope the work, build it, test it on your real examples and hand it over.

What you explain on the call is what gets built, with no relay between a salesperson and a builder. The system follows the way your team works today. And you decide where it runs and who looks after it once it is handed over.

## How they compare for a business of 10 to 50 people

With an agency you deal with an account lead or a project manager, and the builders work behind them. With a consultant you deal with the builder.

An agency can run several workflows in parallel. A consultant usually takes one or two at a time, one after the other.

After launch, agencies often offer a monthly plan and run the system for you. Consultants more often hand it over so your team runs it, with any support agreed separately.

Ownership is a question for both. The accounts, the API keys, the workflow files and the documentation belong in your company's name.

## When an agency is the better choice

When several departments want automation in the same quarter, an agency has the people to work on all of them at once. When nobody in your company wants to own the system and you would rather pay someone to run it month after month, an agency's monthly plan is built for that. And when the job is a standard one they have done many times, you benefit from what they learned on earlier projects.

## When an independent consultant is the better choice

A consultant fits when you want to start with the work that costs your team the most time, see it measured, and then decide on the next step. It also fits when the work is specific to your business and someone has to understand it in detail before building anything, and when you want to own what was built and have your own people run it. If your people will run it, [what an automation engineer does](https://cplt.tech/blog/what-is-an-automation-engineer) describes the role they take on.

## Questions to ask either one

1. Who will build it, and can I talk to that person before I sign?
2. How will we know it works? Ask for the checks a result has to pass, tested on your own examples.
3. Where does our data go, and who decides that?
4. What do we own at the end: accounts, keys, files, instructions?
5. What happens when you are unavailable, and what happens if we stop working together?

Ask the fifth question to an independent consultant too. My answer is the handover: written instructions and a walk-through with the people who will run it, so the system stays with your team. For the checks in question 2, [how every result is checked](https://cplt.tech/proof) shows how I do it.

## Where I fit

I work as an independent AI consultant for small businesses. I build two things: an assistant your people can ask, answering from your own documents, and AI that does work your team repeats, checked, then approved by a person. The [services page](https://cplt.tech/services) has the detail.

If an agency has already sent you a proposal, a second opinion on it is a good use of a [free call](https://cplt.tech/contact).

## Frequently asked questions

### Is an AI automation agency the same as an AI consultant?

They overlap. An agency is a team that mostly builds automations and often runs them for you afterwards. A consultant advises, and many also build. Ask each one what they deliver and who does the work.

### Can I start with a consultant and move to an agency later?

Yes, as long as what was built sits in your company's accounts and comes with written instructions. Then any team can pick it up.

### Do I need someone technical in my company?

You need someone who knows the work well and can say what a good result looks like. The technical side is the job of whoever you hire.
